Greenbaum, Rowe, Smith & Davis, LLP, a well-established and dynamic law firm, has an immediate opening for a full-time, onsite Float Legal Litigation Secretary in our Iselin, New Jersey office with at least three (3) years of experience as a floater in a New Jersey law firm or legal setting, and should demonstrate knowledge in legal practices and procedures. This role provides interim administrative support across multiple practice areas, including litigation, real estate, tax, trusts and estates, and family law, and includes backup receptionist coverage as needed.

This position is ideal for an experienced legal professional who can quickly adapt to different attorney styles and practice areas, providing seamless support in a fast-paced environment, adapts quickly with the flexibility to shift secretarial techniques from day to day and assignment to assignment. Proficiency in electronic filing in New Jersey, New York, and federal courts is required.


The ideal candidate will be expected to perform the following job essential functions:

As a Float Legal Secretary, you will provide coverage and support across practice groups, including:

  • Administrative support duties including answering telephones, scheduling meetings and coordinating calendars for future events and deadlines, attending to all correspondence, documents, e-mails, pleadings, discovery and other related materials.
  • Managing heavy dictation and high-volume workflows with accuracy and efficiency.
  • Entering attorney time and assisting with client intake.
  • Creating, organizing, and maintaining hard-copy and electronic client files.
  • Electronically filing legal documents in New Jersey, New York, and federal courts.
  • Review correspondence and proof-read documents for grammar, punctuation, exhibits and enclosures;
  • Extensive knowledge of word processing and other computer programs to produce the attorneys work product, entering data, etc.;
  • Preparation and execution of documents, correspondence, cover sheets and reports and distribution of such documents;
  • Coordinates monthly billing, closes out files and maintains tracking system for same.
  • Coordinating and tracking attorney calendars, court appearances, deadlines, and client meetings.
  • Serving as a professional liaison with clients, court personnel, opposing counsel, and outside professionals.
  • Performing other administrative duties assigned.


Qualifications & Skills:

The ideal candidate will possess:

  • High School Diploma or GED required.
  • Minimum of at least three (3) years of experience as a legal secretary in a New Jersey law firm (float experience strongly preferred).
  • Strong knowledge of the New Jersey Civil Court system and electronic filing procedures.
  • Proficiency in Microsoft Office 365, iManage, and state and federal e-filing systems.
  • Exceptional organizational, communication, and interpersonal skills.
  • Excellent attention to detail with strong drafting and proofreading abilities.
  • Ability to manage competing priorities and maintain professionalism under pressure.
  • Ability to work well independently as well as effectively within a team;
  • Ability to manage confidential information and sensitive situations with tact and discretion.

Work Schedule: Monday through Friday9:00 a.m. – 5:00 p.m. 35 hour workweek.


Compensation & Benefits:
Salary range: The base salary range* for this position is $65,000 – $67,000 annually (commensurate with experience and qualifications). Exact compensation based on experience We offer a comprehensive benefits package including medical, dental, vision, employer-paid life insurance, FSA, EAP, long-term disability insurance, 401(k), paid vacation, and more.
