Job Description

Working Title: Archival Assistant

Job Classification: 0001 (Temporary & Casual appointment)

Pay Rate: $22.50

This is a 14 hours or less per week position

Hours/Availability:

Must be regularly able to work a range of 14 hours per week in the office during regular business hours (Monday-Tuesday, Friday, 8:30 am - 4:30 pm, Wednesday-Thursday 8:30am-7:00pm) while remaining flexible for events both on and off campus.

Duties and Responsibilities*:
Primary Duties:

  • Creation of EAD finding aids for collections or metadata for digital collections as appropriate
    (30%)
  • Sorting and arranging of historical records with the possibility of applying different criteria to
    different projects, following directions of professional staff. (30%)
  • Writing call slips, pulling materials for researchers, and reshelving material (20%)
  • Supporting public events including event set-up, tear-down, and onsite engagement with
    members of the public (20%)

Responsibilities:

  • Advanced understanding of searching library website and Archives and Special Collections
    finding aids for information to assist researchers
  • Advanced understanding of historical research following set guidelines to be used in exhibits or
    to assist in research projects or for researchers

Procedures:
Specific guidelines, procedures, and training exist for duties.

Supervision:
  • Student may train other student staff and is expected to work independently without direct supervision.
  • Students may be assigned to work within one of the collecting units and in the central reading room or
    information desk.

Program/Unit Description:
The University of Minnesota Archives and Special Collections is made up of distinct collecting units
holding rare books, manuscripts, organization records, personal papers, artwork, and artifacts on a diverse
range of subjects, including children's literature; social work and welfare; immigration; gay, lesbian,
bisexual and transgender studies; African American literature; architecture; performing arts; University of
Minnesota history; history of computing; and other topics.
Archives and Special Collections is open to the public. The collections are used by students, faculty, staff,
and an international community of scholarly researchers. Hours to staff are: Monday - Tuesday 9:00-
5:00, Wednesday-Thursday 9:00-6:00, Friday 9:00-5:00

Essential Qualifications:

  • Basic office skills (filing, alphabetizing, sorting, accurate typing).
  • Able to perform essential physical demands includes, but is not limited to: frequent standing, walking, sitting, lifting, carrying, pushing, pulling, balancing, stooping/bending, and reaching.
  • Ability to engage with library patrons and donors at public functions on and offsite of the library, including occasional nights and weekends.
  • Demonstrated ability to communicate well with both verbal and written skills.
  • Attention to detail in an environment with repetitive tasks.
  • Ability to lift up to 40 pounds without assistance.

Preferred Qualifications:

  • Ability to demonstrate problem-solving skills, multi-tasking, and independent decision making.
  • Detail oriented.
  • Demonstrated ability to establish and maintain effective working relationships with other staff.
  • Available to work in shifts of 4-7 hours at a time.
  • Available to work up to 14 hours per week.
